8 weeks before – Prepare PR material, images for postcard, and statement for show that can be used to compose a press release. Proof release and postcard to be sent off to be printed. (We usually do 500.)
4 weeks before – Mail postcards (gallery would keep some, around 100, Gallery mailing list is around 250, and you would have a few hundred to mail to your list.) Begin process to frame and mat work for display. Coordinate date of hanging. Most likely it would be on the Sunday before the beginning date. Press releases sent and blasts sent multiple times by gallery.
2 weeks before – Prepare price lists for work (60% to artist, 40% to gallery on sales), work/label list – Name, title, printmaking method, paper, year produced, edition, size unframed, sized framed, price framed, price unframed. Copies of resume and artist’s statement for the gallery. Coordinate with gallery your opening reception: estimates of attendance, food, drinks, or any other details.
1 week before – Prepare work to be transported to the gallery. Loose work for flat file(with list).
Resume and Bio’s for gallery, hang your show.
Day of opening – set up for reception, sign-in book if you want to record attendees. Enjoy the event!
End of show – take down show at 12:00 p.m. on the last Sunday of the month or as arranged.
